Marketing Privacy Policy

1. General

Insurely, under its official name “The Great Collective AB” (“Insurely”, “we”, or “us”), cares about your privacy and wants you to be familiar with how we collect and further use your personal data.

This privacy policy (“Policy”) explains how we process your personal data in relation to our direct marketing practices and how you can exercise your data protection rights. Please note that the processing of your personal data taking place in relation to the provision of our services is subject to its own privacy policy, which is available here.

Insurely is the controller of your personal data, and we are responsible for and committed to processing your personal data in accordance with applicable data protection laws, such as General Data Protection Regulation (Regulation no. 2016/679, the “GDPR”) and the Directive on Privacy and Electronic Communications (Directive 2002/58/EC, the “ePrivacy Directive”), as well as the national implementations and related national legislation. All relevant definitions in this Policy should be interpreted in the light of such applicable data protection laws.

We, therefore, encourage you to read this Policy in full to ensure that you fully understand how we will process your personal data in relation to our direct marketing activities.

2. How we collect your personal data and personal data collected

We collect information about you that constitutes personal data, i.e, information that alone or in combination with other information identifies you or can reasonably lead to your identification.

We collect information directly from you when you: (i) fill in any contact form on our website https://www.insurely.com/ (“Website”) or otherwise send an inquiry to us about our service, (ii) register for and attend Insurely’s hosted or sponsored webinars or events, (iii) request copies of Insurely’s reports or publications, or (iv) subscribe to our newsletters. 

We also collect information about you from other sources. When you interact with us through the Website, we may place cookies on your browser which will collect and share information with us. We may also collect and process your personal data that is publicly available, for example at your employer’s website.

3. How and why we process your personal data 

3.1 To fulfil your inquiries

When you send an inquiry to us about our services, for example when you submit any of the contact forms on the Website or send a demo request through our contact form on the Website, we will ask you to submit the following information about you:

  • First and last name
  • Work email address
  • Company name 
  • Information on how you heard about us
  • Job title

If you wish, you can further disclose:

  • Your phone number (you are free to choose whether that will be your personal or work phone number)
  • Any information related to your request in the free text field

We will process your personal data based on our legitimate interest to operate our business and answer questions from those interested in our business. We will store your personal data for 12 months after our last communication. 

3.2 When you register for an event or download material 

We want you to be on top of what is happening within the insurance industry. Therefore, from time to time we organise events or webinars that you can attend. Furthermore, we draft relevant material that you can download, such as white papers, by filling in the registration form.  In order to register for our events or download relevant material, we will ask you to provide the following information about you:

  • First and last name
  • Work email address
  • Company name 
  • Job title
  • The industry within which your company operates

We will process your personal data based on our legitimate interest in organizing events or webinars and managing the registration process for such events or creating material within the insurance industry that we consider will be interesting to you. We store your personal data for 12 months after the event or webinar, or after the submission of your request to download relevant material.

3.3 When you subscribe to our newsletters

When you subscribe to our newsletter, we will ask you to provide us with your email address. We process your email address based on our legitimate interest to inform you about news within the InsurTech field. We store the data for as long as you want to receive the newsletters.

3.4 To follow-up on events and material

Upon participation in an event or receipt of relevant material from us, we may contact you in order to ask for your opinion about the event you participated in or about the material you have downloaded, or to discuss our services or how Insurely can support your organisation. 

For this purpose, we will process your personal data based on our legitimate interest to measure your satisfaction and improve the quality of our events and material. We will store your personal data for 12 months after submission. 

3.5 Recordings and photographs during events or webinars

We will be recording our webinars and therefore if during the webinar, you have spoken, turned on your camera, or commented on the chat function, this data will be available to other people who have requested to view the webinar on-demand. We will process this personal data based on our legitimate interest to have our webinars available on demand and we will inform you about the recording beforehand.

During our physical events, we may take photographs that we may post on our Website or social media channels. We will process this personal data based on our legitimate interest to promote our business and raise our brand awareness. In case you don’t wish to be photographed or if you do not wish us to publish any photograph of you, please let us know upon registration for an event. If you want us to remove a photograph that you appear in, please contact us at privacy@insurely.com.

3.6 Cookies and similar technologies

When you interact with us through our Website, we may place cookies on your browser which will collect and share with us various information. Therefore, we may process your IP address or the type of browser that you are using. For more information, please read our cookie policy

3.7 CRM systems

We process your personal data in our CRM systems, such as:

  • First and last name
  • Work email address
  • Company name 
  • Job title
  • The industry within which your company operates
  • Last contacted day
  • The content of the email communication
  • Any relevant notes 

These CRM systems support the marketing operations of Insurely and we will process the data based on our legitimate interest to operate and administer our business. We will store your personal data 2 years after you stop being a client of ours or 12 months after our last communication. 

4. Sensitive data

Please note that for our marketing purposes, we will not collect any personal data categories that can be considered sensitive, such as information about your racial or ethnic origin or health, political opinions, religious or philosophical beliefs, trade union membership, or your personal identity number or criminal background.

5. Recipients of personal data, and transfer of personal data

We may disclose your personal to the following recipients:

  1. Courts and similar judicial entities and/or authorities, if required to do so by law.
  2. Our marketing partners.
  3. Service providers upon which we rely for our core marketing activities, such as data management services, digital infrastructure, and marketing services.     

We endeavour to store and process your personal data within the EU/EEA. However, in exceptional circumstances, your personal data may be transferred to, and processed in, countries outside the EU/EEA. If we transfer data outside the EU/EEA, Insurely will ensure adequate safeguards to protect the rights of individuals through one of the following measures:

  1. The country is on the European Commission’s list of countries with an adequate level of protection, or;
  2. The transfer is made by otherwise ensuring an adequate level of protection through standard contractual clauses.

If a standard contract is deemed ineffective due to national law, Insurely will take additional measures to ensure an adequate level of protection when transferring personal data to countries covered by paragraph (2) above.

6. Your rights  

As a data subject, you have certain rights when Insurely processes your personal data. You can contact Insurely (privacy@insurely.com) at any time to exercise your rights as set out below.

6.1 Right of access

You have the right to access information about which of your personal data we process, as well as the legal basis and purpose of the processing. You can contact Insurely at any time to request information on the personal data processing operations that concern you.

6.2 Right to rectification

You have the right to have inaccurate personal data rectified and, depending on the purpose of the processing, have incomplete personal data completed. You may contact Insurely at any time to request correction or completion.

6.3 Right to erasure

You have the right to request the erasure of your personal data. Insurely will promptly delete your personal data when required by law. However, Insurely will not erase the personal data if Insurely needs to process the data to comply with a legal obligation or to establish, enforce or defend legal claims.

6.4 Right to restriction of processing

You have the right to request that we restrict the processing of your personal data. For example, restriction of processing may apply if you contest the accuracy of the information we store about you. If the processing of your personal data has been restricted, Insurely may only store your personal data or process it if Insurely is permitted to do so by law.

6.5 Right to data portability

You have the right to data portability, which means that in certain cases you can receive the personal data you have shared with us in a structured, commonly used and machine-readable format and that you have the right to transfer these data to other data controllers where this is technically possible.

6.6 Right to object

You have the right to object at any time to the processing of your personal data for direct marketing purposes. 

You also have the right to object to the processing of personal data based on a legitimate interest of Insurely     . If you choose to object, Insurely      may continue to process your personal data for only if Insurely      can demonstrate legitimate interests for the processing that outweigh your interests, freedoms, and rights, or if Insurely      needs to process your personal data for other purposes such as establishing, exercising, or defending legal claims.

7. Change of control

If there is a change of control in our business, we may transfer your information to the new owners for them to continue to provide the Services. The new owners shall continue to comply with the commitments we have made in this Privacy Policy. 

8. Notice of changes to the policy 

If we make changes to this Policy, we will notify you on our Website. Significant changes to how we collect or process your data will be notified through email.
